About the Role
We're looking for a detail‑focused and organised Team Administrator to join our Glasgow City Centre office. This is a varied and hands‑on role where you'll support professional property teams by producing well‑presented reports, managing client information, and keeping processes running smoothly behind the scenes.
This role would suit someone who enjoys technical document formatting , working accurately with systems and spreadsheets, and taking pride in producing high‑quality work.
What You'll Be Doing
Technical report & document support
- Producing reports using templates and digital or handwritten dictation
- Formatting reports to a high standard - ensuring layout, headings, tables and appendices are clear and consistent
- Working with Excel‑based templates where surveyors input technical content, and you ensure everything is presented correctly
- Handling large volumes of photographs:
- Resizing and compressing images
- Inserting them into reports with correct headings and layout using Adobe
- Supporting valuation and consultancy reports by checking structure, summaries and formatting
- You won't be writing the technical content - your focus is presentation, accuracy and structure
Excel & systems work
- Using Excel regularly for reports that contain paragraphs of text, tables and calculations
- Formatting cells correctly and making basic edits to formulas (e.g. totals and checks)
- Working confidently within existing templates rather than creating spreadsheets from scratch
Client Setup & Compliance
- Setting up new clients and jobs on internal systems
- Carrying out checks such as anti‑money laundering and conflicts of interest
- Performing due diligence using Companies House and credit checking tools
- Helping raise fee notes, credit notes and process invoices
- Supporting data accuracy across CRM and accounting systems (training provided)
Office & Admin Support
- Diary management, including booking travel and accommodation
- Preparing documents (binding, photocopying, formatting)
- Keeping client files organised and audit‑ready
- Helping manage meeting room bookings in a busy office
Systems You'll Use
- Microsoft Office, particularly Word and Excel
- Google Workspace (Docs, Gmail)
- Adobe for document and image handling
- CRM and accounting systems (Sage experience helpful, but full training provided)
About You
- You have experience in an administrative or support role and enjoy working with detail
- You're confident with document formatting and using Excel beyond basic data entry
- You're organised, reliable, and comfortable juggling different tasks
- You like working as part of a team and aren't afraid to ask questions
- You're looking for a role that's structured, varied, and not repetitive
The Team
You'll be joining a friendly, collaborative team of around 25 people , supporting client work, reports, and data processes during a busy and exciting period for the business.
If you enjoy admin roles where accuracy matters , reports are produced to a high standard, and your work genuinely supports the wider team - we'd love to hear from you.
