Senior Business Support Assistant - Community Mental Health

The Role

The post holder will ensure that an effective and efficient secretarial and administrative service is delivered to the multi-disciplinary team which comprises of managerial, medical, psychology, nursing and occupational therapy staff within adult community mental health services across Glasgow City CHP. The post holder will ensure that the single point of access operates effectively and will work independently for much of the time managing their daily workload and supporting the wider team. The post holder may be required to provide day to day supervision of staff within the service.

Duration, Location, and Working Pattern:

  • An opportunity has arisen at Leverndale, Brand Street and Rossdale
  • The shift pattern for this post is Monday to Thursday 09:00 to 17:00 and Friday 09:00 to 16:30
  • This is flexible in line with the 30hrs contract
  • Please note the salary is Pro Rata for part time hours

Key Responsibilities

General

  • Provide a comprehensive secretarial and administrative service to managers and clinical team leaders
  • Act as first point of contact to those wishing to contact the manager/team members

Communications

  • Responds to routine mail on behalf of manager, or drafts more complex correspondence
  • Respond to personal and telephone enquiries regarding complaints and, redirects to other staff where appropriate. Arrange for accurate and timely messages to be conveyed to manager

Complaints/Feedback

  • Provides information and advice to patients and others on NHS complaints and feedback arrangements. Responds directly to straightforward enquiries or refers matters for consideration by clinical staff/service managers. If required, can assist others to record their complaints/feedback

Production of Material

  • Type a variety of documents (correspondence (including mail merge), reports, statistical and financial data, presentations) from a variety of sources (including audio) with a high degree of accuracy. This includes extraction of information from spreadsheets and/ or production of complex reports and presentations
  • Collate information from a variety of sources for input to reports and returns

Meetings

  • Forward plan diary commitments ensuring effective use of managers’ time, resolving conflicting demands within a busy schedule of meeting commitments.
  • Assist in arranging a variety of meetings, events and conferences under direction
  • Ensures that managers are provided with all relevant papers for meetings on a timely basis
  • Attend meetings and ensures that all necessary arrangements are made including booking venue, arranging room layout, notifying participants, issue of agenda and supporting papers, writing up of minutes, transcribe and distribute minutes and progressing appropriate follow up action

Knowledge, training, qualifications and/or experience required to do the job:

Experience / Qualifications

  • Must show competence in the use of range of computer packages evidenced by experience or formal qualification e.g. ECDL
  • Conversant with office procedures and systems and able to demonstrate prior experience of working in a secretarial or administrative role. Such experience is unlikely to have been achieved in less than 3 years related secretarial/administrative experience at a more junior level through which a thorough understanding of office procedures has been obtained
  • Recognised qualification in Administration equivalent to HNC in Secretarial Studies or Business Administration, or SVQ in Administration at Level 3, or significant relevant equivalent practical experience

Specific Skills/ Knowledge

  • Advanced keyboard skills
  • Good command of verbal and written English
  • Thorough knowledge of own department and organisation gained through prior experience within the organisation, induction, or period of orientation of not less than 4 weeks. There will be an on-going requirement to have a personal development plan agreed with the manager which will include participation in training and development
  • Organisational skills, including ability to deal with a range of non-routine tasks, apply problem solving and manage conflicting demands
