The role:
We are looking for a self-motivated person to undertake audio typing from digital dictation for letters, reports and discharge summaries, etc., for patients from outpatient clinics, patients discharged from wards and other outpatient appointments. You should have accurate keyboard skills and be confident in the use of Microsoft Packages. Knowledge of medical terminology and experience in hospital IT systems would be advantageous. You will also be required to work within and adhere to policies and procedures, for example, health and safety, data protection, administration/secretarial standards and confidentiality.
No Band 2 roles are eligible for sponsorship under the Skilled Worker visa or Heath and Care Worker visa. routes. For Band 3 roles, only posts of 32 hours per week or more may meet eligibility. NHS Greater Glasgow and Clyde (NHSGGC) cannot provide a Certificate of Sponsorship (CoS) for roles that do not meet these criteria, and applications requiring sponsorship will not be considered.
Duration, Location, and Working Pattern:
Permanent, Full-time
Shift Pattern - Monday - Friday
Base location - Glasgow Royal Infirmary
Key responsibilities:
- The frequency and extent to which the post holder carries out all duties may vary from speciality to speciality.
- Transcription of dictation received from outpatient clinics, letters, medical reports for external agencies (e.g., Department for Work and Pensions), and discharge summaries.
- Data entry onto clinical systems to support patient follow-up requirements.
- Filing clinic letter via Winscribe into Clinical Portal (for EPR)
- Ensure compliance with quality standards and timescales for typing turnaround
- Provide telephone cover within the department
- Scanning documents onto Clinical Portal
- Processing of SCI Gateway referrals
- Printing of all typed letters
- Shared responsibility for Health & Safety within the office area.
- Participate in Personal Development Planning & Review
- Comply with the requirements of the General Data Protection Regulations (GDPR), Access to Health Records Act, Freedom of Information Act and legislation issued in relation to confidential data, e.g. Caldicott.
- Undertake Statutory & Mandatory training as required.
- Promote and display NHS Scotland core values of care and compassion, dignity and respect, openness, honesty and responsibility and quality and teamwork in the discharge of duties
- Be a role model for NHSGGC organisational values, demonstrating professionalism and a behavioural approach which promotes the principles of dignity and respect for all.
Knowledge, training, qualifications and/or experience required to do the job:
- Secretarial Studies certificate, advanced keyboard skills and accurate transcription speeds.
- Proven proficiency in English and medical terminology.
- Knowledge of PC Office software packages.
- Excellent organisational and communication skills.

From 1 April 2026, the Agenda for Change full-time working week will reduce from 37 hours to 36 hours. Part-time working hours will be reduced on a pro-rata basis. A corresponding increase in the hourly rate will apply, ensuring that overall pay remains unchanged.
