Senior Executive Administrator / Secretary

Role
Full-time Senior Executive Administrator / Secretary based at our Glasgow Head Office.
Working as part of our administration team, the role includes providing senior administrative support to our legal and business development teams, and providing executive administration support to our practising directors.
Line Reporting
You will report directly to the firm’s Office & Finance Manager
Key Skills Required
▪ Excellent communication, time management and organisational skills
▪ In-depth knowledge of Microsoft Office and working knowledge of CRM systems and software
▪ Audio-typing experience
▪ An ability to work on initiative in a fast-paced office environment as part of a supportive and professional team
▪ A “can-do” approach at all times
Remit
▪ Formatting and proofing documents and correspondence on behalf of the legal and business development teams
▪ Sending correspondence (electronic and hard copy) on behalf of fee earners to clients and third parties
▪ Providing administration support for Employment Tribunal actions including audiotyping pleadings; correspondence to and from clients, ACAS and the Tribunal; preparing inventories of productions for hearings and maintaining files in
good order
▪ Diary management
▪ E-filing and occasional manual filing and archiving
▪ Occasional audio-typing with speed and accuracy using digital dictation to support our legal team with the typing of all professional correspondence
▪ Meeting and greeting office and client guests, answering telephone calls and directing as appropriate, all in line with the firm’s client care protocols
▪ Ensuring supplies for the office are in good order
▪ Opening the office, as required
▪ Administering the onboarding and offboarding of client accounts, amending existing client accounts and related details to maintain good order
▪ Assisting in keeping the firm’s template documentation up to date
▪ Assisting with the firm’s marketing initiatives as required including JEL Client Alerts;
training arrangements; and client engagement correspondence by following the firm’s established protocols and liaising with the firm’s business development and legal teams to ensure all marketing and business development initiatives, including website and telephone enquiries, are being delivered and reported on
▪ Preparing new business proposals and quotations for the legal and business development teams
▪ Supporting the firm’s sponsorship and charitable initiatives with administrative assistance including booking guests for hospitality events and attending to associated correspondence with the firm’s sponsorship partners and guests prior to and after events
▪ Providing executive administration support to the two practising directors including diary management; travel arrangements; commitment prompts; and associated communications
▪ Providing cover for departmental colleagues during period of annual leave
